POSITION SUMMARY

Provides administrative and project support to several programs within the conservation department. Specific portfolio of conservation programs to be identified upon hire, but may include Fisheries Conservation, Climate Policy, Climate/Plastics Nexus, and Trash Free Seas®.

PRIMARY RESPONSIBILITIES

  • Provides project and administrative support to program leadership and staff including
    • Planning and coordination of program event logistics
    • Scheduling team meetings and one-on-one meetings (as requested)
    • Note-taking at meetings
    • Calendar management of assigned individuals (no more than two)
    • Arranging travel for individuals and teams
    • Monitoring deadlines and project milestones
    • Creating and maintaining files
    • Drafting correspondence and program reports
    • Copying and mailing
    • Processing, compiling and tracking expense reconciliations
    • Drafting reprojections and providing budget review support
    • Assistance in drafting, managing and tracking of contracts and subgrants
    • Processing of invoices
  • Provides ad hoc support to other program assistants, including coverage of specific duties in their absence.
  • Attends weekly meetings with relevant program directors.
  • Carries out project assignments in support of team members including conducting research, gathering information, preparing presentations and other materials for internal and external audiences.

REQUIRED SKILLS/QUALIFICATIONS/EXPERIENCE

  • A minimum of two years of administrative experience staffing a multi-disciplinary team.
  • Experience in public policy and with non-profit organizations preferred.
  • A team player who can bring the creativity, energy, discipline and commitment needed to support our restoration goals.
  • A high-level performer who remains attentive to details and adheres strictly to deadlines and deliverables while keeping a larger vision in mind.
  • Excellent interpersonal and communication skills with demonstrated success in supporting a team.
  • Highly collaborative with an appreciation of the benefit of a multi-disciplinary team approach.
  • Personable, passionate, productive, and focused to support accurate and timely analysis, advocacy, products, and positions.
  • A strong performer who is attentive to details but can keep a larger vision in mind, is disciplined in adhering to deadlines and can produce deliverables in a timely, accurate manner.
  • Excellent interpersonal skills with demonstrated success in supporting a team.
  • Highly collaborative with an appreciation of the benefit of a multi-disciplinary team approach.
  • A highly motivated self-starter.

EDUCATION/TRAINING

  • Bachelor’s degree or relevant experience preferred

COMPENSATION

Ocean Conservancy is committed to equity in its pay practices and posts expected hiring ranges for each of its positions. Salary minimum is $46,350; salary midpoint is $53,560. Compensation will be commensurate with the candidate’s specialty skills, years of experience, location, and unique background.  We would welcome the opportunity to connect with potential candidates whose salary requirements may be outside of the expected hiring range.
